Technology in the photocopier industry is constantly expanding and growing, much like computer and music technology. In order to decide if copier leasing is right for you and your business, consider some of the following information.

Benefits of Copier Leasing

Most copier leasing programs will include several benefits, including regular and emergency maintenance. This can save a lot of hassle and extra expenses in the long run, as most leases will cover a wide array of parts and labor. Another great perk when it comes to copier leasing is that many lease agreements will allow you to trade and upgrade your copier without renegotiating a new lease. If you’re a new business owner, you may not know right off the bat what kinds of features you will need in a photocopier initially; thus, being able to swap out your copier in a lease is a much smoother transition than having to buy a brand new one! Some copier leasing companies will offer an all-inclusive deal, which includes extra necessities such as toner refills, paper, etc. Though an all-inclusive lease would save you some inventory ordering time, they are not necessarily a cheaper option at all times, so be sure to explore other economy-friendly options for supplies before looking into such a lease. (Keep in mind that you are never obligated to purchase supplies directly from your copier dealer, and it is strictly illegal for them to try and tell you otherwise!)

Cost Ranges

Standard photocopiers tend to range about $5,000 to $10,000, with the highest end models reaching upwards of $40,000. Copier leasing is a much more agreeable option since it does not require you to shell out thousands of dollars outright. Many leases will allow a buyer to agree to a lease that will cost them roughly $150-$200, for a standard priced model, and most will have a negotiable purchase option at the end of the lease anyway. It is true that leasing a photocopier will end up costing more in the long run, and there are some things to watch for when signing a lease. Some leases charge monthly minimums or on a per-copy basis, so be realistic about how many copies you think your business will be making per month, so you get the most out of your money. An estimate too low will be cheaper, but may leave you with a copier that isn’t cut out for your business needs, whereas an estimate too high can cost you more when you don’t meet your monthly minimums.

When NOT to Consider a Copier Lease

If your business uses makes 700 copies or less a month, consider some other options before leasing a photocopier. Most office supply stores carry small office copiers, and even some higher end printers have scanning and copying options that work just as well. Consider your additional expenses, such as ink and paper, and make the decision that is best customized for your business.
